Privacy

This notice describes the current website setup. It should be reviewed whenever new analytics, advertising, payment or customer-management services are connected.

Website enquiries and customer records

When you use the Free First Class form, the details you enter are sent securely to the Onyx website enquiry endpoint and stored in Onyx Combat Academy’s private customer-enquiry database. The enquiry is also forwarded to help@brazillianjiujitsu.com using an email-delivery provider, and an acknowledgement may be sent to the email address you provide.

The database may contain your name, email address, optional telephone number, programme and class preferences, participant age group, message, enquiry status, staff follow-up notes and a record of the consent choices made when the form was submitted. It is used to answer enquiries, arrange free classes, record attendance and manage the progression from enquiry to membership.

If you enquire for a child, the contact record should contain the parent or guardian’s details. Please only provide information needed to arrange the class and do not include medical or safeguarding information in the general message field.

Marketing choices

The optional training-updates checkbox is separate from the acknowledgement required to answer and administer an enquiry. Onyx may send booking and service messages needed to deal with your request whether or not you choose marketing updates. Promotional email should only be sent where the relevant consent or another lawful permission applies. You can withdraw marketing consent by contacting the academy.

Retention and access

Customer-enquiry records are available only through protected staff and server-side systems. Onyx keeps personal information only for as long as it is reasonably required for the enquiry, membership administration, legal obligations or an active marketing choice, after which it should be deleted or anonymised.

Website assistant

The Ask Onyx assistant uses pre-written answers in your browser. The text of questions typed into the assistant is not sent to an external AI service or included in analytics events. A short session-storage flag may be used in your browser so the assistant does not repeatedly show the same introductory prompt during the same browsing session.

Cookies, browser storage and embedded content

Optional Vimeo and YouTube videos and Google Maps are disabled until you enable them using the privacy notice. These providers may receive your IP address, browser information and the page requesting the content, and may store or access information on your device. Vimeo uses its do-not-track setting and YouTube uses privacy-enhanced mode; these settings do not guarantee that no storage is used.

Accept or reject optional content, or choose videos and maps separately. Use “Privacy settings” in the footer to change your choices at any time. Rejecting optional content leaves the website, enquiries, WhatsApp links and payment links available, with static hero images instead of videos.

We store your choices in local browser storage under onyx_privacy_v1 for up to 180 days, including the notice version and time of your choice. This record is not sent to an advertising service. The website assistant uses onyx_chat_seen in session storage to remember that you dismissed or opened its introductory prompt. Admin sign-in uses secure, HTTP-only authentication cookies; these are for staff access rather than public browsing.

Changing a choice stops the corresponding embeds loading. We cannot directly delete cookies already stored on third-party domains; you can remove those through your browser settings. Instagram posts shown on the site use images and outbound links rather than an embedded Instagram player. Following external links opens the provider’s service, where its own privacy terms apply.

The optional “Sound & vibration” footer control is off by default. If you choose to enable it, we remember the setting on this browser in local storage under onyx_button_feedback_v1. Button sounds are generated on your device, and brief vibration is used where supported. This preference is not sent to us or to another service. You can turn it off at any time using the same footer control.

Payments

When dedicated Onyx online payment links are enabled, membership buttons may direct you to Square. This website does not collect or store card details directly. Square processes payment information under its own privacy terms.

Hosting and security data

The website is hosted on infrastructure that may process technical logs such as IP address, browser information, requested page, response status and time of access for security, reliability and service operation.

Analytics and conversion measurement

Optional website conversion statistics are recorded only after you give analytics consent in Privacy settings. They help us compare mobile and desktop journeys, such as links to free classes, opening booking forms, validation issues, successful enquiries and visits to external membership checkout pages. A checkout click does not mean a purchase was completed.

These statistics include the page path, selected programme, campaign source where available, broad screen-size category and a random session identifier kept in your browser's session storage. This identifier links actions within the same browser tab, is not a permanent visitor identifier, and is not linked to contact or membership records. The event data contains no names, phone numbers, email addresses, entered form text, participant ages or chat messages. The website stores these events in its private reporting database. The hosting provider may process routine technical request logs.

Rejecting statistics does not prevent you booking a class or requesting a callback. You can withdraw optional analytics consent using Privacy settings in the footer; withdrawing consent stops new analytics events and removes the temporary session identifier from this tab. Existing aggregated event records are not individually attributable to an identified person through this identifier.

Your rights

UK data-protection law may give you rights to access, correct, erase or restrict the use of personal information, to object in some circumstances and to complain to the Information Commissioner’s Office. For a website privacy or enquiry question, contact help@brazillianjiujitsu.com.

Operational bookings remain separate

If you submit an enquiry, we store the details necessary to respond and arrange your training whether or not you opt into conversion statistics. Attendance, membership and verified payment records remain in the protected customer-management system. Optional analytics reporting is separate from these operational records.
